**Position Summary**Responsible to provide administrative support to the real estate department, working with internal and external resources, to respond to requests; review, code and ensure accuracy on real estate invoices; maintain real estate contract files, certificates of insurance and percentage rent compliance; process real estate payments, prepare reports, etc.**Minimum Requirements Degrees**Associate's Degree (Required) Business Administrationor related field or an equivalent combination of education and/or experience.**Job Experience**Three years office experience, preferably in a real estate department.State Real Estate License (based on assigned location) preferred.**Responsibilities and Essential Duties**Responsible to maintain real estate data within company databases (ie, Rent, CAM, Real Estate Taxes & Insurance) and prepare reports (ie, Real Estate Chart Book, Property of Sale Report, Lease Review, Sublease/License Delinquency Report, etc.); ensure information and changes are accurately reflected in the various systems/databases (ie, accounting, real estate/lease); and work with Accounting to update information and/or streamline reporting processes as necessary.Respond to requests for information from internal and external sources in a timely and accurate manner. Prepare information for requests as required (ie, research proof of payments, complete new site research requests to include dot density maps, demographics, locations, rent, etc.) and provide to management, and ensure inquiries (ie, information from broker calls, risk management vendor claim files, etc.) are directed to the appropriate department.Maintain electronic and/or hardcopy department files such as real estate contracts, legal documents, operating and maintenance files and related correspondence; scan legal lease documents and required abstract legal documents and maintain department property photos.Monitor the Lease Administration database to track upcoming lease option notices; route key information to management and ensure timely response/decision. Communicate with legal and department management outcome of decision (ie, for negotiation of leases renewals, or appropriate action for discontinued lease options, etc.). Prepare a quarterly report of upcoming lease expirations and distribute to management for a proactive review.Review, process and reconcile real estate payments (ie, rent, common area maintenance, real estate taxes and insurance), and work with accounting to ensure the accuracy of such information Gather and maintain certificates of insurance, verify endorsements and coverage under Lease Agreements, and ensure accuracy with insurance billings from landlords.Maintain percentage rent compliance documents, work with accounting and/or tenants to gather information to calculate additional rent due to landlord, initiate invoices to tenant(s) if applicable and coordinate payment authorization.Act as a point of contact for distribution and/or retail operations and landlords to resolve maintenance issues. Record, monitor and follow up with maintenance issues (with landlords or internal maintenance or construction department) to ensure timely resolution.Review and code real estate invoices to ensure accuracy and submit for review and approval. Conduct a detailed review for excess property maintenance and utility bills; research past due amounts, ensure payments are applied accurately and communicate issues with utility companies or property manager (ie, unusual high water bill may indicate problems at site/water leak).Prepare letter of intent of changes regarding alterations, expansions, and improvements and ensure timely landlord/subtenant approval. Work with real estate management, engineering and legal departments as necessary regarding updates, landlord questions/disapproval, etc.Responsible to maintain or ensure completion of tax forms to include: Work with vendors to gather a W-9 as required for Accounting and IRS compliance. Assist in the issuance of W-9/xxxx's tax information and act as point of contact for real estate information. Prepare appropriate forms related to tax incentives in a timely manner and submit to county/state as required; work with department analysts as necessary.Provide administrative support to the Real Estate department to include: Coordinate and receive approvals/signatures for documents accordingly (ie, legal, tenants, etc.). Assist with property transactions to include finalizing documents for execution, coordinating and following up with attorneys and title company on closing checklists, coordinating transfer of utilities for acquisitions or property disposals, etc. Assist with property research projects to include gathering bids/proposals on real estate surveys/appraisals, preparing background research on potential tenants, etc., working with internal (ie, credit and loan, legal, etc.) and external resources and provide to management. Update Real Estate budget tracking system accordingly for real estate payments; may gather information for the budget process as requested.**Knowledge, Skills Abilities**Strong written and verbal communication skills. Ability to interpret real estate documents such as lease documents/contracts, legal surveys and site plans, etc. Good organizational, prioritization and multi-tasking skills to meet deadlines and strong attention to detail. Proficient in MS Office (ie, Word, Excel, PowerPoint). Lease database, PeopleSoft and/or real estate billing systems experience helpful.
